ATTENDANCE POLICY

Regular and punctual school attendance is a key factor to ensure that students take full advantage of the educational opportunities available to them. Scope includes all students enrolled with Kavyapta Global School.

Objectives:

  1. Improve students’ achievement by ensuring high levels of attendance and punctuality.
  2. Achieve minimum of 85% attendance for all children, apart from those with chronic health issues.
  3. Recognize attendance and punctuality as values encouraged by the School.
  4. Establish a mechanism to check and prevent absence and enable prompt feedback system.
  5. Recognize the key role of all parents, staff and teachers, in promoting good attendance.

Attendance Rules

  1. A student has to attend 75% of the Classes and 75% of the practical in each semester/term.
  2. The duration of Industrial attachment/ dissertation/ research works / study tour has to be accounted separately for 75% attendance.
  3. The attendance of a student shall be counted from the date of his/her admission, while in the case of promoted student, attendance shall be counted from the date on which respective classes begin.
  4. Final attendance will be calculated as on 1st January for classes X & XII, and as on 15th February for the rest of the classes.
  5. The Admin shall notify on the notice board the final attendance position of each of its students within three days of the final attendance calculated day. Not later than five days, thereafter, a student may, by an application to the Principal, claim benefit of exclusion of classes on grounds to be specified and accompanied by the relevant documents. All such applications submitted within time shall be considered and disposed of by the Principal, at least 3 days prior to the commencement of the Final examination. For classes X & XII, CBSE Examination Bye-Laws on attendance needs to be followed, document attached.
  6. The Principal may consider, on the basis of the Medical Certificates produced, exceptional cases of prolonged illness or had met with an accident during the year disabling them from attending classes for a certain period, with a view to determining whether the classes, etc. delivered during the said period, or a part thereof, could be excluded for purposes of calculation of attendance of the session and decide each case on its own merits. However, the student/ parents will have to inform the Principal as soon as student fell ill or had met with an accident.                                    
  7. Leaves (to attend sports meet outside university and other extracurricular activities) without sanction from the Principal will not be considered for attendance.
  8. Medical certificates shall be excluded, while calculating scores to be awarded for regularity, though such certificates shall continue to be considered for the purpose of calculating eligibility to appear for examinations and promotions.
  9. Report Card, Discipline area includes weightage for regularity in attending classes and practical. The Scores for regularity, based on attendance, shall be as follows:

10. Course repeat criteria in case of shortage in attendance:

As per Kavyapta Attendance Policy, a student has to attend 75% of the school instructional days and vocational programs/research-based assignment days/practical. The Principal may condone shortage of percentage in attendance not exceeding 5% for cogent reasons.

Excused Absences

  • Illness: A doctor’s/parent note of reason for absence is required for your student’s attendance record
  • Medical appointments or treatments: Will require a doctor’s note for the student’s attendance record
  • Religious holidays: A parent note is required for the student’s attendance record
  • Death: A parent note is required for the student’s attendance record
  • Personal or family emergency: A parent note is required for the student’s attendance record

Unexcused Absences

  • Family vacations
  • Non-Medical appointments
  • Family work
  • Absence for any other reason that does not meet the criteria of an excused absence
  • A student who is absent from school without notice

Responsibilities:

Class teachers are responsible for:

  1. Keeping an overview of class and individual attendance, tracking variances in patterns of attendance and/or unusual explanations for attendance offered by students and their parents
  2. Keeping accurate daily attendance records
  3. Contacting parents of absenting children
  4. Informing the Senior Leadership Team where there are concerns and acting upon them
  5. Monitoring follow-up once actions have been taken to correct attendance concerns, emphasizing with their class the importance of good attendance and promptness
  6. Following up absences with immediate requests for explanation which should be noted in the register
  7. Discussing attendance issues at Parent Teacher Meetings

The school office is responsible for:

  1. Collating and recording attendance information
  2. Taking messages from parents regarding absence
  3. Checking whether the student almanacs are updated or not
  4. Sending out memo and circulars regarding attendance

Parents and Students Responsibilities:

  1. Ensuring that student attends school regularly and punctually unless prevented from doing so by illness or attendance at a medical appointment.
  2. Contacting the school office before the leave is taken.
  3. Informing the school in advance of any medical appointment that cannot be made outside of school time. For the absence to be recorded as a medical absence we do require evidence from a government doctor. Medical appointments should be made outside of school hours whenever possible.
  4. Inform the school about reluctance of the student to attend the school.
  5. Inform the school about psychological conditions of the student.
  6. Should student attendance be such that it is below 85% (considering the reasons for said absence) students could be removed from certain programs.
  7. Students representing school in any activity outside the school then attendance will be considered in accordance with sports policy.
  8. Chronic absence leads to withholding the admit card.
  9. Absence in term exams for frivolous reasons will be viewed seriously and a repeated test will not be possible.
  10. Absence from club, fitness and sports activities leads to removal. Reluctance in continuing the chosen activity under any circumstance is forbidden.
  11. Missing assemblies and special programs, excessive tardiness, deliberately missing the class or other non-compliance during school hours (moving out of the class without out-pass, found in unwanted zones) or leaving school without proper consent and exit pass, will lead to disciplinary/serious action taken by the school authorities.
  12. The student who has been absent has the responsibility for securing and completing make-up assignments. The class work must be made up within a specific time period equalling one day make-up per one day absence. In case of a pre-arranged absence, the class work is due the day the student returns to school. All work not made up within the time limit will not be accountable.

Possible Consequences:

Verbal notification, written parent notification, parent/guardian conference at school, referral to school counsellor, cash penalties/fine. Students coming to school late more than twice in a month may be asked to go back from the gate.

Security Note: If the student has to go out of the school, exit pass needs to be issued after due verification with the concerned dept. Moving in the campus or found in a different location during the class programs without the class out pass will lead to serious action from the school authorities.
